THE ROLE
We're looking for a Recordkeeping Specialist to join our growing TPA and recordkeeping team. You'll work within a technology-first environment where AI handles the routine so our people can focus on what matters. Reporting to our Head of TPA & Recordkeeping, you'll play a key role in maintaining plan accuracy, supporting participant transactions, and delivering a seamless experience to our clients — all from wherever you work best.
WHAT YOU'LL DO
- Process participant transactions including contributions, distributions, loans, and rollovers
- Reconcile payroll data against recordkeeping systems and identify discrepancies
- Maintain accurate plan and participant records across our platform
- Support plan sponsor and participant communications under the direction of senior staff
- Assist with year-end testing data preparation and 5500 filing support
- Work within SchwabRKS and related systems to ensure data accuracy and compliance
- Collaborate with our AI platform (Matilda) — reviewing automated outputs, flagging exceptions, and helping train workflows as we scale
WHAT WE'RE LOOKING FOR
- 1–3 years of experience in 401(k) recordkeeping or TPA administration
- Familiarity with SchwabRT / SchwabRKS recordkeeping platform strongly preferred
- Working knowledge of ERISA, plan document basics, and retirement plan compliance concepts
- Detail-oriented with strong data reconciliation skills
- Comfortable working alongside AI tools and technology-driven workflows — no prior AI experience required; we'll train the right person on our platform. We're looking for curiosity and adaptability, not a résumé full of buzzwords
- Thrives in a fast-moving, lean team environment
- QKA, QPA, or active pursuit of ASPPA credentials a plus

Our proprietary AI platform, Matilda, automates routine TPA and recordkeeping workflows end-to-end: payroll data ingestion, eligibility tracking, participant communications, enrollment processing, contribution reconciliation, loan administration, and more. Matilda integrates directly with SchwabRKS and our payroll data feeds to keep participant records accurate and current in real time.
